Covid-19 Protocols

We want to keep our clients & staff healthy. The following is our office protocols:

The following are the guidelines for handling a pandemic in the Aapril Tax Service.

Clients:

  • Encourage drop off & portal services.
  • Will be asked Covid questions. Healthy, contact, fever?
  • Allow face to face meeting only if they have an appointment, or a walk in if the staff is not with a client.
  • Only 2 couples or 2 individuals can wait in the lobby others may wait in a car and we will call when we are ready for them to come in. 
  • Only 2 clients per preparer are allowed. All other family members must wait in the car.
  • Maximum clients allowed in office are 2 per preparer and 2 couples (or 1 couple & 1 individual or 2 individuals) in the waiting area. A maximum of 12 people.
  • Client needs to sanitize hands before coming back to preparer.
  • Clients & staff must wear mask while interacting.
  • Clients will be provided a sanitized pen to sign off on documents and encouraged to keep the pen or put it in the dirty pen cup.
  • Clients are not allowed past 2nd set of desks.
  • Clients are to remain at the reception desk unless they have an appointment or are allowed to see a preparer as a walk in.

Preparers:

  • DO NOT COME IN IF SICK!!
  • Social distance from clients & fellow staff members.
  • Wipe down work area at the start of your shift, at the end of your shift also throughout the day.
  • Clean the client side of the desk after each client leaves. Wipe down chairs, desk, plexiglass partition, pens, signature pad & any surface the client touched. Wash hands or use sanitizer after cleaning up client’s area.
  • Wear a mask when interacting with clients or in close contact with other staff members.

Receptionist:

  • DO NOT COME IN IF SICK!!
  • Social distance from clients & fellow staff members.
  • Wipe down work area at the start of your shift, at the end of your shift also throughout the day.
  • Beginning of day, end of shift & throughout the day, clean the client side of the desk after each client leaves (if possible). Wipe down desk, plexiglass partition, pens, front door handles inside & out, & any surface the client touched. Wash hands or use sanitizer after cleaning up client’s area.
  • Wear a mask when interacting with clients or in close contact with other staff members.

General Staff Duties:

  • Wipe down copy machine and common areas whenever possible.
  • End of day Julie or Eric will sanitize the whole office with sprayer.
  • Make sure desks have supply of wipes, hand sanitizer & there is hand soap in the dispenser & paper towels on the dispenser.
  • All dishes & appliances should be cleaned & put away when finished using them.
  • Wipe down break table after eating at it.

During the pandemic or flu season the owner shall provide the staff a safe working environment.

Air purifiers will be place throughout the office to help keep the air clean and as germ free as possible. The filters will be changed in accordance to the manufacturer’s guidance.

Owner will provide all cleaning & sanitizing products needed to keep the office safe.

Owner will provide hand sanitizing station for clients to use before seeing a staff member.

Owner will provide mask for the staff to wear during their shift. Dirty masks will be given to Julie on Saturday or Sunday so everyone will have clean sanitized masks for Monday.

There will be cross training for all staff members so all positions can be covered no matter who might get sick.

Any employee not feeling well will be asked to stay home. If a staff member does test positive for COVID-19 the following protocol will be followed.

  • The office will be closed 24 hrs to staff & clients for deep cleaning
  • Deep sanitizing of the office, doors opened to air out the office
  • The office may reopen with the remaining staff members if they want to come in, it is not mandatory.
  • Office will be closed to the public for at least 7 days or until all staff members have tested negative for Covid-19.
  • Infected employee may return once they are better & have tested negative for Covid-19.
